Documenting Your Selection Process

If you are ever called upon to explain or defend a hiring decision, you will need documentation of the process that led to the decision. This information should be kept on file; it provides an ‘audit trail,” in the event the decision comes under review.

The following documents are likely to result from the selection process. These should be retained for a minimum period of three years.  

   q       Job analysis information

q       Notes documenting the qualifications of any subject matter experts

q       Copy of vacancy announcement, newspaper ads, and a list of all recruitment sources used

q       Copy of the selection planning worksheet

q       Applications received

q       Copy of the training and experience evaluation or a written copy of criteria used in screening applicants

q       Interview questions, model answers, or other written criteria

q       Written evaluation of each candidate interviewed

q       Preference applied, along with notes regarding
